When students are unable to come to Morehead’s campus to take the exit exam, they must find and secure a suitable testing location (a school, career or testing center) and a qualified proctor to administer the exam. If the proctor or location is not available during the approved testing time (Friday 9:00 a.m. to 12:00 p.m., local time for the student) students may submit a request for an alternate date/time 6 weeks in advance of the on-campus testing date. Requests for alternate dates/times are not automatically approved. Students must document real need. Additionally, no student may complete an exam later than the on-campus test date.
 

What must I do to take a proctored MA exit exam?

  • Find an appropriate proctor more than four weeks prior to the MA Exam date.
  • Complete and submit the Proctor Approval Application.
  • Provide the specified examination date and time to your approved proctor.
  • Comply with any payment schedule that may be required by your approved proctor or testing center.
  • Take your exam within the time frame in which the exam is scheduled.
  • Make sure that your proctor properly submits the finished exam to the graduate coordinator at MSU within one hour of the examination’s completion.

Who is an appropriate (or qualified) proctor?

Proctors cannot be family members, friends, or co-workers. An appropriate proctor candidate may be from one of the following categories:

  • College, university, or private testing center official
  • Faculty or official staff member at a university or community college
  • Educational administrator at a community college or university
  • Military officer of higher rank than the student, if in the military
  • Corporate training center official.

What must a proctor have to be able to give the exit exam?

Students must confirm that their proctor has:

  • A business email address
  • Reliable access to the Internet
  • The ability to download and print Word and PDF documents
  • Access to a working fax machine or scanner (for returning completed exams to the Graduate English Coordinator)
  • The ability to scan or fax the exam to the office within one hour of the examination’s completion

Exam materials will not be sent to proctors who do not have a business e-mail address.
 

Where can I find help getting a proctor?

For assistance finding a proctor, students can contact a guidance counselor, an academic advisor, or the dean of students or registrar’s office at a nearby college, university or local testing center. The Consortium of College Testing Centers (CCTC) is an organization that has testing centers across the country and abroad that provide proctoring services to distance students near their homes. Centers are located in 46 states and nine countries.
 

Am I responsible for proctoring fees?

Any proctoring fees incurred are the responsibility of the student.
There are often charges for the use of a testing facility and the proctor's time to receive, monitor, and return an exam.
Please be sure to determine if there is a fee, what it is, and when it must be paid. (Although practices vary, testing centers often require prepayment, and a receipt of payment may serve as a ticket to the proctored exam session.)
 

How do I access, complete, and submit the proctor approval application?

The MSU Proctor Approval Application form is available on our website.

To complete and submit this application:

  • Copy and complete the Student portion (Section 1) of the application.
  • Provide (Section 2) of the application to your proposed proctor. Have your proposed proctor or testing center director complete the Proctor portion (Section 2) of the application.
  • Send the printed version by regular mail or fax to the Director of Graduate Studies in English (FAX 606-783-9112).

Please note that the Graduate Coordinator in English must receive both sections of the Proctor Approval Application no later than four weeks before the scheduled exam.
 

When will I know if the proctor application form has been approved?

Students and proctors receive e-mail confirmation upon receipt of the proctored exam form. If confirmation is not received within 24 hours, students should send a query e-mail to a.adams@moreheadstate.edu. When the proctored exam request has been approved, students and proctors will receive an e-mail that includes details about exam policies and procedures.
 

What are the proctor's responsibilities?

  • The proctor must ensure that all necessary technologies are available and working.
  • The proctor must ensure the integrity of the test (by being the only person to handle the exam prior to and following its completion, making sure that there is only one copy of the exam, and deleting any electronic copies of the exam from his/her computer immediately following student completion of the exam).
  • The proctor must follow the Graduate Program's requirements for administering the exam (closed book, no notes, on-demand writing done in a three-hour period).
  • The proctor must scan or fax the examination to the graduate office within one hour of the examination’s completion.
  • The proctor must prepare the exam (and any relevant materials, e.g., scratch paper) for return by sealing it in an appropriate envelope, provided by the student, immediately after scanning or faxing the exam.
