Grading & Census

Midterm and Final grades are entered through Self-Service within the MyMoreheadState portal. Visit the Faculty & Staff Resources page on the registrar’s website for detailed instructions on grade entry. VIEW GRADE ENTRY INSTRUCTIONS

Missing the grade submission deadline can have many consequences. Late final grades delay graduation and end-of-semester processing and can compromise eligibility for scholarships and financial aid. Final grades should be entered by the published deadline. A temporary grade of “X” will be posted for any student with a missing grade. The “X” grade is calculated as failing and affects the student’s GPA. To remove the “X” from the transcript, a grade correction form must be submitted for each student.

The federal government mandates that universities confirm that students have begun attendance in all courses that count toward federal financial aid eligibility. Financial aid distributions to our students depend on every instructor certifying their attendance in each of their courses by a particular “census date.” Failing to certify can impact your students’ financial aid and/or cause them to be dropped for non-attendance from their courses.

VIEW CENSUS CERTIFICATION INSTRUCTIONS

Once the census closes, students are dropped for non-attendance. Accounting & Financial Services notifies the students who are dropped via email. They are instructed to contact their instructors if they wish to be reinstated. Reinstatement is at the discretion of the instructor. If you choose to reinstate a student who was dropped for non-attendance, you must email the student’s name and ID number (if you have it) and the course section that was dropped to registrar@moreheadstate.edu by the reinstatement deadline.

If you do not have access to the Faculty tab in Self-Service, you cannot complete your census or enter grades. To verify access, please do the following:

  1. Verify you are on the faculty file by contacting registrar@moreheadstate.edu. (Note: If your name is already listed on the section, you are on the faculty file. Your department ADS can check this for you. If you are not listed, then contact the registrar’s office.)
  2. 2. If you are on the faculty file and still do not have access, contact the IT Service Desk at 606-783-4357.

Contact your department or dean’s office to have a grade change form sent to you electronically.

Registration & Rosters

Most faculty do not have access to register students. Please direct students to your departmental office or have them register themselves in Self-Service. If you wish to override a section requirement such as cap, prerequisite, or a petition, please email or call your department for assistance.

VIEW STUDENT REGISTRATION INSTRUCTIONS

Please see “Calendars” on the registrar’s website for drop/add deadlines.

Students cannot withdraw from all courses at the institution in Self-Service. They must send an official request to the Office of the Registrar. Students wishing to withdraw from all coursework during a term should submit a withdrawal form to the Office of the Registrar by the last day to drop (as published in the Academic Calendar). Students may also email registrar@moreheadstate.edu from their MSU email account with their request to withdraw.

VIEW WITHDRAWAL INSTRUCTIONS

Class schedules are dropped for students who have not paid their account, enrolled in a payment plan or accepted the Financial Responsibility Agreement if financial aid covers their charges in full. The drop typically occurs the day after the last day to add.

Students must contact Accounting & Financial Services to make payment arrangements to be reinstated.

You can view your official rosters in Self-Service. Please note that your Blackboard roster is NOT the official roster. To view your roster in Self-Service:

  1. Log in to your MyMoreheadState portal and select Self-Service.
  2. Select the “Faculty” card from the Self-Service main menu to access your class rosters.
  3. A list of your courses for the semester will be displayed. Select the desired course section to access the Section Details.
  4. A class roster, attendance, census, and grading tab will be available on the Section Detail Screen.

Faculty Advising

My Progress is an automated degree audit of the program based on coursework the student has registered for and taken. This allows advisors and students to see what courses fulfill which degree requirements within a student’s program.

To view a student’s My Progress:

  1. Log in to your MyMoreheadState portal and select Self-Service.
  2. Select the “Advising” card from the Self-Service main menu to access your advisees.
  3. From the Advising Overview screen, click “View Details” next to the advisee you wish to view. The Advisee Detail screen provides access to frequently used advisee information.
Note: My Progress has known bugs related to transfer credits and repeats. If you have questions regarding a student’s My Progress degree audit, please contact registrar@moreheadstate.edu.

Faculty advisors may only view their own advisees’ information.

The pass-fail option applies only to free elective courses. These include courses not required for your area, major, minor, or general education requirements. Students should apply for the pass/fail option at the dean's office of their first major by the last day to add a class. If approved, the request should be sent to registrar@moreheadstate.edu.

Requirements include the following:

  • A minimum of 2.5 cumulative GPA for 30 hours earned at MSU. You are eligible as a transfer student with a minimum of 30 hours if at least 12 hours were earned at MSU and you have a 2.5 GPA on the work completed at MSU.
  • A maximum of 15 hours may be applied toward the total hours required for the bachelor's degree, and six hours may be applied toward associate degree requirements.
  • Each semester, you may use the pass-fail option for one course (for any number of credit hours) or a combination of courses totaling up to three hours.
  • Hours earned in pass-fail work are added to your total hours passed but do not affect your GPA. Any grade of "D" or above is considered passing and is designated by "K." A failing grade is designated by "N."
  • You may change course registration status from pass-fail to the conventional letter grading system, and vice versa, during the normal period to add a course.
  • You cannot transfer hours earned under the pass-fail option into any degree program.
  • Instructors do not know your status under the pass-fail option. Instructors assign a conventional letter grade, which the registrar converts to a "K" or "N," as applicable.
  • Pass-fail credit may not be applied to a second degree.

The University catalogs are published online by August 1st each year. Beginning in September, hard copies can be purchased by contacting Document Services at printing@moreheadstate.edu.

HOW TO APPLY FOR GRADUATION

Programs are changed in the dean’s office where the new program is housed. Students should contact their advisor prior to changing their program. Each college may have a different process in place for program changes.

In simple terms, a student with a double major will receive one printed diploma, and a double/dual degree will receive two printed diplomas. Additional requirements must be met to qualify for a double/dual degree. It should be noted that the transcript will reflect both programs regardless of whether the student is a double major or a double/dual degree.

If you would like to request an equivalency for a transfer course, please contact your department chair. If approved, the department chair will contact the Office of the Registrar and request to have the transfer course equated to an MSU course.

Academic Scheduling

The department chair works with the faculty to create the schedule. Each department assigns the building of the schedule to a designated employee (e.g., Academic Department Specialist, Administrative Assistant, etc.).

Requests for schedule changes should be directed to your department.

The following section numbers are meant to be used as a general guideline.

There will always be some exceptions to the rule.

  • 200-299 ITV 300-399 Internet (second half internet – 320s)
  • 500-599 Hybrid (second half hybrid – 520s)
  • 600-699 Eagle Scholars (high school only)

  • 020-029 Second Half Semester

Cross-listed courses are two or more courses offered at the same time, same place, and by the same instructor. They may or may not be equated.

Equated courses are two or more identical courses with different prefixes. For example, BIOL 301 and CHEM 301 are the same course but offered with different prefixes. If a program requires BIOL 301 and a student takes CHEM 301, the CHEM course will satisfy the BIOL 301 requirement.

Transcripts & Verifications

Students can request their official MSU transcript online through the National Student Clearinghouse at www.getmytranscript.com.

Current students may request a Letter of Good Standing, Enrollment Verification, Current Schedule, and other verifications by emailing verifications@moreheadstate.edu from their MSU email account.
